SHIFT HOURS: Monday to Thursday 11a-6pm, Friday 9am-2pm, then 1 to 2 hours on weekends to check email

Job Summary:

We are seeking a detail-oriented Appointment Coordinator to join our dental team. The primary responsibilities include confirming and scheduling appointments for dental procedures with accuracy and efficiency, coordinating with patients to ensure seamless scheduling, and managing receptionist duties such as answering phone calls and responding to emails. The role also involves maintaining organized patient records in Ortho2 software, collaborating with the dental team to address scheduling conflicts, and providing excellent customer service by addressing patient concerns professionally. The ideal candidate will have strong organizational skills, proficiency in Ortho2 software, and a commitment to maintaining patient confidentiality.

Responsibilities:

• Confirm and schedule appointments for dental procedures with accuracy and efficiency.
• Coordinate and communicate effectively with patients to ensure seamless appointment scheduling and follow-up.
• Manage receptionist duties, including answering phone calls, responding to emails, and handling patient inquiries.
• Assist in maintaining organized patient records and updating necessary information in the Ortho2 software.
• Collaborate with the dental team to ensure a smooth flow of appointments and address any scheduling conflicts.
• Provide excellent customer service by addressing patient concerns and inquiries in a professional manner.
• Maintain confidentiality and handle sensitive patient information with the utmost discretion.

Software Tools Required/Good to Have Knowledge:

• Proficiency in using Ortho2 software is highly desirable.
• Must have a Windows operating system, as Ortho2 is not compatible with Mac.
• Familiarity with any type of softphones/dialers is a plus.

    Qualifications:

    • Proven experience as a receptionist or administrative assistant in a dental or medical setting.
    • Must be bilingual (English/Spanish)
    • Excellent organizational and multitasking skills to handle a high volume of appointments.
    • Strong communication skills, both written and verbal.
    • Ability to work independently and remotely, demonstrating self-motivation and discipline.
    • Tech-savvy with a good understanding of dental office software and tools.
    • Adherence to confidentiality and privacy regulations.
