We are seeking a Bilingual (English and Spanish) Business Support Virtual Assistant to join our growing cleaning company. The ideal candidate will provide exceptional customer service, manage scheduling, handle administrative tasks, and promote our services. This full-time role requires strong communication skills, organizational abilities, an upbeat personality, and meticulous attention to detail. Previous experience with a cleaning company is a plus!

Requirements:

  • Language Proficiency: Bilingual fluency in English and Spanish.
  • Communication Skills: Excellent verbal and written abilities to interact effectively with clients and staff.
  • Organizational Skills: Strong skills to manage schedules and appointments efficiently.
  • Customer Service Orientation: A friendly and helpful attitude to deliver top-notch service.
  • Sales Acumen: Experience in sales calls and client acquisition preferred.
  • Attention to Detail: Meticulous attention to detail for accurate scheduling and follow-up.
  • Tech Savvy: Familiarity with scheduling and CRM software (e.g., Acuity).

Responsibilities:

  • Scheduling:
    Coordinate and schedule cleaning staff for various client assignments.
    Utilize Acuity software to manage crew schedules and appointments.
  • Client Communication:
    Respond to client emails and inquiries in English and Spanish.
    Communicate with cleaning crew supervisors regarding work completion and scheduling.
    Follow up with supervisors to ensure timely crew payment.
  • Payroll Processing:
    Collect crew pay information and compile data for payroll (no direct payment processing).
  • Customer Service:
    Provide excellent customer service and support to clients in English and Spanish.
    Address client inquiries and complaints promptly.
  • Sales and Outreach:
    Conduct sales calls to promote our cleaning services and secure new clients.
    Manage and send follow-up emails to maintain strong relationships with clients and prospects.
  • Recruitment:
    Assist in recruiting and onboarding new cleaners to ensure a reliable and capable team.
  • Social Media Management:
    Light management of social media platforms, including creating posts and interacting with community groups.

Qualifications:

  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Email).
  • Familiarity with basic accounting principles (preferred).
  • Ability to work independently and as part of a team.
