We are seeking a highly organized and detail-oriented Project Coordinator to join our team. The successful candidate will be responsible for coordinating contractor appointments, managing supplier communications, and ensuring seamless project follow-ups. This role requires proficiency in various software tools and excellent communication skills to effectively liaise with clients, suppliers, and team members.

Responsibilities:

  • Coordinate Contractor's Appointment Schedule:
    Manage and organize contractors' schedules to ensure timely and efficient project execution.
    Communicate with contractors to confirm appointments and address any scheduling conflicts.
  • Request Quotes from Suppliers:
    Reach out to various suppliers to obtain quotes for materials and services needed for ongoing projects.
    Evaluate received quotes and present them to the project manager for decision-making.
  • Follow Up on Existing Projects:
    Regularly check in with suppliers and workers to monitor the progress of ongoing projects.
    Resolve any issues or delays by collaborating with relevant parties.
  • Customer Collections Follow-Up:
    Communicate with clients regarding outstanding payments and follow up on collections to ensure timely receipt of funds.
    Maintain accurate records of communications and payments received.
  • Send Emails to Clients and Suppliers:
    Prepare and send professional emails to clients and suppliers, maintaining a clear and efficient line of communication.
    Ensure timely responses to inquiries and follow-ups.

    Required Skills & Qualifications:

    • Proficiency in Internet tools, Google Voice, Gmail, Gmail Calendar, and Google Drive.
    • Strong knowledge of Excel, Word, and PDF formats.
    • Familiarity with communication apps such as WhatsApp.
    • Excellent organizational skills and attention to detail.
    • Strong verbal and written communication skills.
    • Ability to prioritize tasks and manage time effectively.
    • Previous experience in project coordination or a similar role is preferred.
