Appointment Setter Virtual Assistant (Bilingual)

Job Summary:

Responsibilities include preparing and submitting construction permits, monitoring permit statuses, and providing timely updates to the construction team. Maintain accurate records, communicate with clients to address inquiries, and handle phone calls to building departments. Utilize online portals efficiently, demonstrate resourcefulness in problem-solving, and adapt quickly to new tools and technologies. Effective communication via email and proficiency in software applications are essential, as well as bilingual skills in English and Spanish. Responsibilities:

  • Permit Submission:
    Prepare and submit construction permits according to local building regulations.
    Ensure all required documentation is complete and accurate.
  • Status Checks:
    Regularly check the status of submitted permits and provide timely updates to the construction team.
    Address any issues or discrepancies in the permitting process.
  • Data Entry:
    Maintain accurate and up-to-date records of permits, project details, and other relevant information.
    Organize and input data into spreadsheets and databases.
  • Client Follow-ups:
    Communicate with clients to provide updates on project status and address any queries.
    Ensure a high level of customer satisfaction through responsive and informative interactions.
  • Phone Calls to the Building Department:
    Initiate and handle phone calls to building departments for inquiries, clarifications, and follow-ups on permits.
    Establish and maintain positive relationships with building department contacts.
  • Online Portal Management:
    Utilize online portals for permit submissions and status tracking.
    Manage logins and access credentials for various online platforms.
  • Resourcefulness and Fast Learning:
    Demonstrate a proactive and resourceful approach to resolving issues and finding solutions.
    Quickly adapt to new processes, tools, and technologies.
  • Email Communication:
    Communicate effectively with clients and team members via email, providing necessary information and updates.
    Maintain a professional and courteous tone in all communications.
  • Software Proficiency:
    Utilize software applications such as Excel and MS Office Word for data management and document preparation.
    Navigate various online tools and portals efficiently.
  • Bilingual Skills:

Qualifications:

  • Proven experience in construction administration or a related field.
