Responsibilities

  • Receptionist Duties:
    Greet and welcome visitors, clients, and employees with a friendly and professional demeanor.
    Answer and direct incoming phone calls, take messages, and handle inquiries promptly and efficiently.
    Manage the reception area, ensuring it is tidy, organized, and well-stocked with necessary supplies.
    Schedule and coordinate appointments, meetings, and conference calls.
  • Bookkeeping:
    Maintain accurate and up-to-date financial records using QuickBooks and Tiller.
    Process and reconcile accounts payable and receivable transactions.
    Prepare and process invoices, expense reports, and other financial documents.
    Assist in preparing financial statements and reports for management.
    Monitor and manage budgets, expenses, and financial transactions to ensure accuracy and compliance.
  • Customer Support:
    Provide exceptional customer support by addressing inquiries, resolving issues, and ensuring customer satisfaction.
    Utilize tools like ChatGPT to assist with customer inquiries and provide real-time solutions.
    Track and document customer interactions, feedback, and resolutions using CRM software.
    Collaborate with other departments to address customer concerns and improve service quality.
    Identify opportunities for process improvements and implement best practices for customer support.

Qualifications

  • Proven experience in receptionist, bookkeeping, and customer support roles.
  • Proficiency in QuickBooks, Tiller, and other relevant software tools.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and collaboratively in a team-oriented environment.
  • Attention to detail and a commitment to accuracy in all tasks.
