OVERVIEW

We are actively pooling remote Construction Virtual Assistants to support general contractors, builders, developers, and home service businesses with administrative, operational, and executive support tasks.

Construction VAs act as back-office support partners, helping construction companies stay organized, responsive, and efficient. The role focuses on coordination, documentation, scheduling, vendor communication, invoicing support, and workflow management — not physical or on-site construction work.

Candidates may come from general admin, executive assistant, operations, logistics, or project coordination backgrounds. Prior construction experience is a plus but not required. Strong organizational skills and willingness to learn construction workflows are essential.

INTERNAL TRAINING REQUIREMENT

To be considered for active Construction VA placements, candidates will complete a short, self-paced internal training provided by our company.

This training includes:

  • Overview of the Construction VA role and common client expectations
  • Introduction to construction terminology, workflows, and timelines
  • How Construction VAs support project managers, owners, and field teams
  • Best practices for handling scheduling, documentation, and vendor coordination

This training ensures all Construction VAs enter client engagements with a baseline understanding of construction operations and admin workflows.

KEY RESPONSIBILITIES

Administrative & Executive Support

  • Provide day-to-day administrative support to construction owners, project managers, or operations teams
  • Manage email correspondence, follow-ups, and document organization
  • Assist with calendar coordination, reminders, and scheduling

Project & Operations Coordination

  • Support project scheduling, task tracking, and workflow updates
  • Maintain project folders, files, and documentation
  • Assist with tracking permits, inspections, and compliance items (as directed)

Vendor & Subcontractor Support

  • Assist with vendor and subcontractor communication
  • Track certificates, documents, and basic compliance requirements
  • Support outreach, follow-ups, and coordination tasks

Invoicing & Documentation Support

  • Assist with invoice tracking, purchase orders, and expense documentation
  • Support basic bookkeeping coordination (not accounting)
  • Maintain organized records for financial and project documents

Process & Workflow Support

  • Follow client SOPs and help maintain repeatable admin processes
  • Assist with creating or updating internal trackers, checklists, and documentation
  • Support operational consistency across projects
