​REQUIRED SERVICE: Business Support
REQUESTED EXPERIENCE TIER LEVEL: ​Senior and Advanced Levels
MIN. HOURS/WEEK: 22.5 hrs/week
SHIFT TIME ZONE: Australia Time Zone
SHIFT HOURS: 11 am-6 pm
SHIFT DAYS: Mondays-Tuesdays and Fridays (to introduce Saturdays in a few months)

RESPONSIBILITIES​:

    Call Management:

    • Answer incoming calls promptly and professionally.
    • Handle inquiries and provide accurate information about dermatology services offered by the practice.
    • Direct calls to the appropriate team members when necessary.

    Customer Service:

    • Address service-related questions from patients and potential clients.
    • Provide clear and concise information regarding treatments, procedures, and other services.
    • Ensure patient satisfaction by offering exceptional customer service.

    Appointment Scheduling:

    • Schedule, reschedule, and cancel appointments for patients using the practice's scheduling software.
    • Confirm appointments and follow up with patients to ensure they are prepared for their visits.
    • Coordinate with dermatologists and other staff members to maintain an efficient appointment calendar.

    Administrative Support:

    • Maintain accurate and up-to-date patient records and documentation.
    • Assist with administrative tasks as needed to support the smooth operation of the practice.
    • Manage and organize digital files and correspondence.

    Communication:

    • Respond to emails and online inquiries in a timely and professional manner.
    • Utilize online communication tools to interact with patients and staff.

QUALIFICATIONS​:

  • Proven experience in customer service, administrative support, or a related field.
  • Excellent communication skills, both written and verbal.
  • Strong organizational and multitasking abilities.
  • Proficiency in using scheduling software and other relevant tools.
  • Ability to work independently in a remote environment.
  • Knowledge of dermatology or medical practices is a plus, but not required.
