We are seeking a part-time Executive & Event Support Assistant to assist with calendar management, event logistics, and administrative tasks for a high-level executive. The role will involve supporting the planning and execution of annual events, webinars, and regional gatherings while handling scheduling and organizational tasks.This position is ideal for someone with strong attention to detail, event coordination skills, and administrative experience. Preference will be given to candidates with hospitality or event planning backgrounds.

RESPONSIBILITIES​:

    Executive Support:

    • Manage and coordinate the executive’s schedule and calendar.
    • Handle RSVPs and communications for meetings, webinars, and events.
    • Organize and maintain documents using Google Drive, Google Docs, and Google Sheets.
    • Communicate with stakeholders via Slack and email.

    Event Planning & Logistics:

    • Assist with planning and executing annual events, regional dinners, and webinars.
    • Handle invitations, RSVP tracking, and vendor coordination.
    • Manage event timelines and logistics to ensure smooth execution.
    • Support day-to-day event operations, from venue coordination to guest communications.

    Administrative Support:

    • Maintain event-related records and databases.
    • Assist in coordinating webinars and online meetings.
    • Provide general administrative support as needed.
    • Preparing expense reports for the founder/executive.

QUALIFICATIONS​:

  • 3-4 years of experience in executive assistance, event coordination, or administrative support.
  • Proficiency in Google Drive, Google Docs, Google Sheets, Slack, and Notion.
  • Strong organizational and communication skills.
  • Experience managing schedules, RSVPs, and event logistics.
  • Ability to work part-time (10-15 hours per week) with increased hours during peak event seasons (August - January).
