RESPONSIBILITIES:
Administrative Tasks:
- Manage and organize company documents, records, and files.
- Assist in the preparation of reports, presentations, and correspondence.
- Handle office supplies and inventory management.
Inbound/Outbound Calls:
- Answer and direct phone calls to the appropriate departments.
- Make outbound calls to clients and stakeholders as needed.
- Provide exceptional customer service over the phone.
Scheduling:
- Schedule and coordinate meetings, appointments, and events.
- Maintain and update calendars for team members and executives.
- Ensure timely reminders and follow-up for scheduled activities.
Follow-Up Emails:
- Draft and send follow-up emails to clients and stakeholders.
- Maintain an organized email inbox and respond promptly to inquiries.
- Track and manage email communications for projects and tasks.
Client On-boarding:
- Assist in the onboarding process for new clients.
- Prepare and provide necessary documentation and information to clients.
- Ensure a smooth transition and positive experience for new clients.
Lead Generation:
- Conduct research to identify potential leads and opportunities.
- Develop and maintain a lead database.
QUALIFICATIONS:
- Excellent organizational and multitasking skills.
- Strong communication and interpersonal abilities.
- Experience in administrative roles is preferred.
- Ability to work independently and as part of a team.
- Candidates must have a strong understanding, experience, and skill set with MailChimp, canva and honeybook.
- Need someone with strong experience who can create SOP, welcome letters, onboarding packages, and automation.
- This person should not be afraid to make suggestions and be creative in helping scale business for growth.
APPLICATION SOFTWARE KNOWLEDGEABLE/REQUIRED:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with customer relationship management (CRM) software (e.g., Salesforce, HubSpot).
- Familiarity with project management tools (e.g., Asana, Trello, Slack).
